o Employment and benefits information where we manage PAYE or payroll;

o Correspondence and communications relating to our services;

o Device and technical data (e.g., metadata from emails or secure portals, for audit and security 

purposes).

o Provide accounting, tax, payroll, and business‑advisory services;

o Fulfil our contractual duties under each engagement;

o Comply with legal obligations (e.g., tax law, Money Laundering Regulations 2017, Proceeds of Crime Act 2002);

o Respond to regulatory authorities such as HMRC, Companies House, or the ICO;

o Manage billing, administration, and client relationships;

o Send regulatory or indicative updates relevant to existing clients.

o We will only process personal data where a lawful basis applies – typically contract, legal obligation, or legitimate interest. Where consent is required, it will be explicit, specific, and can be withdrawn at any time.


5. Sharing and Transfers

o HMRC, Companies House, and other official bodies;

o Our professional advisers or insurers (where legally required);

o Payroll/tax‑filing software providers, bank integrations, cloud platforms used to store data and secure file transfer;

o Law‑enforcement agencies if required by law.

All third parties acting as processors are assessed for data security compliance and bound by 

written contracts. 

We do not sell or rent client data to third parties.

Where data is transferred outside the UK, we ensure appropriate safeguards (such as UK Data Transfer Addendum or adequacy agreements) are in place.


6. Data Retention

We retain client records for at least six years after the end of the relevant tax year or as required by 

law or our professional regulator. 

In certain cases (e.g., AML requirements or ongoing claims), records may be retained longer where legally permissible.

Data no longer needed is securely deleted or destroyed.


7. Your Rights

Under the UK GDPR you have the right to:

o Access a copy of your personal data (subject access request);

o Request correction of inaccurate information;

o Request erasure of data (“right to be forgotten”) where legally permitted;

o Restrict or object to processing in certain circumstances;

o Data portability (transfer to another controller where technically feasible); and

o Withdraw consent for marketing communications at any time.

o Requests are handled within one month unless an extension is required due to complexity, in which case we will notify you.

o Regular staff training on data‑protection and cyber‑security;
